Cheltenham7sfestival.co.uk (our site). This page, together with the documents referred to on it, sets out the terms and conditions (T&Cs) on which Cheltenham Sevens Limited (our, us and we) supply any of the packages or tickets (products) listed on our website and on which you may use our site.

Our Privacy Policy – see here and any other policies, rules or guidelines that may be applicable to particular offers or features of the Website are also incorporated into these Conditions. By visiting or using the Website placing an order on our site, or via our third-party ticketing supplier, you expressly agree to these Terms & Conditions, as updated from time to time.

The Frequently Asked Questions section of our site contains various rules and regulations which relate to our event and our site. All published itineraries are merely samples and therefore subject to alteration, according to weather, programme change requirements or other consideration.

If you are unable to agree to the terms and conditions listed, thank you for your interest but please do not place any orders on our site. Should you have any queries relating to Cheltenham 7s, our terms and conditions or our site please contact us.

1. Our Rights

1.1 We reserve the right to:

(a) amend both our terms and conditions and privacy policy without prior notice and to whatever extent is deemed suitable by us. Your continued use of our site (or any part of it) following such change should be deemed to be your acceptance of such change. It is your responsibility to regularly check whether the terms and conditions have been changed; and/or

(b) modify or amend, either permanently or temporarily, our site (or any part of it) with or without notice to you and you confirm that we shall not be liable to you or any third part for any modification to or withdrawal of our site; and/or

(c) monitor any activity and content associated with the Website. We may investigate any reported violation of these Conditions or complaints relating to the Website and take any action that we deem appropriate (which may include, but is not limited to, issuing warnings, suspending, terminating or attaching conditions to your access and/or removing any materials from the Website)

(d) postpone or amend, either permanently or temporarily, the dates of the festival without prior notice to you and you confirm that we shall not be liable to you or any third party for any variation of the festival dates. In such instance, your ticket or team entry package will remain valid for the new dates and you will not be eligible for refunds.

1.2 Please note that our site is subject to change from time to time. You will not be eligible for any compensation if you are unable to use our site (or any part of it) because of a site failure, suspension or removal of our site from public use.

1.3 Your order constitutes an offer to buy a product from our site. All orders are subject to acceptance by us; this is confirmed by receipt of an email from Cheltenham Sevens Limited. The contract between us will only be formed when we send you this confirmation email. Proof of sending shall be deemed sufficient proof the contract has formed.

2. Site Use & Availability

2.1 You may use our site only for lawful purposes. You will not use our site (or any part of it) for any illegal purpose.

2.2 Certain areas of our site will permit you to enter some content of your own. Where this is the case, the content must not:

(a) contain any material which is obscene, offensive, inflammatory or which promotes discrimination against any individual or company in respect of race, sex, religion, nationality, disability, sexual orientation or age

(b) infringe any copyright or trademarks associated with either Cheltenham Sevens Limited, our partners or any other business or person

(c) be used to imitate another person or misrepresent your identity or affiliation to any team, club, university, school or other organisation

2.3 You will not:

(a) upload or transmit through our site any computer viruses, macro viruses, trojan horses, worms, robots, logic bombs or anything else designed to interfere with, interrupt or disrupt the normal operating procedures of a computer or the site itself. By breaching this provision, you may commit a criminal offence under the Computer Misuse Act 1990 and we will report any such activity to relevant law enforcement authorities; and/or

(b) use any robot, spider, offline reader, site search/retrieval application or other manual or automatic device, tool, or process to retrieve, index, data mine or in any way reproduce or circumvent the navigational structure or presentation of the Website or its contents, including with respect to any CAPTCHA displayed on the Website; and/or

(c) take any action that imposes or may impose (in our sole discretion) an unreasonable or disproportionately large load on our infrastructure; and/or

(d) alter or modify any part of the Website other than as may be reasonably necessary to use the Website for its intended purpose.

2.4 You agree that in the event that you have any right, claim or action against any end user of our site arising out of that end user’s use of our site, then you will pursue such right, claim or action independently of and without recourse to us.

3. Privacy Policy

For the purpose of the Data Protection Act 1998 (the Act) the data controller Cheltenham Sevens Limited.

3.1 We process information about you in accordance with our privacy policy.

3.2 When setting up an account you will be asked to provide us with your name, billing address and delivery address details, email address, telephone number and a password. Your payment details will also be used by our payment platform.

3.3 We may also obtain further information about you from competitions entered or other general usage of the site. We use your information for the following:

(a) To handle orders, deliver products, process payments and refunds and provide statements; and/or

(b) To communicate with you about your order. If you contact us, we will keep a record of the correspondence relating to your query, order or other maker; and/or

(c) To contact you by email, post or telephone to ask you for feedback and comments on our services. On occasion this process may be passed to external agencies; and/or

(d) Contact you relating to Cheltenham 7s, events, promotions, competitions and special offers that may be of interest to you; and/or

(e) To prevent or detect fraud or abuses of our site and enable third parties to carry out related work.

4. Intellectual Property

4.1 You acknowledge that all rights including copyright and database rights, in the website and its contents are owned by or licensed to Cheltenham Sevens Limited, or otherwise used by Cheltenham Sevens Limited as permitted by applicable law or the copyright holder.

4.2 You may not copy, reproduce, republish, download, post, broadcast or transmit any text, images, graphic, logo, button, icon or underlying source code for any purpose without written permission from Cheltenham Sevens Limited or the copyright holder. We are the owner of all trademarks including names, images, logos, registered or unregistered designs, copyrights and any other intellectual property which appear on our site.

4.3 Cheltenham Sevens Limited does not give permission for their use by any person other than the holders. Any such use may constitute an infringement of the holder’s rights.

4.4 Press Passes can be issued to those who are permitted to take photos at the event and agreed by Cheltenham 7s. All photographs and images taken at Cheltenham7s Festival are the property of Cheltenham Sevens Limited and may be used for promotional purposes. Images must be supplied free of any watermarks and within 3 weeks of the event. Images may not be used, published or sold by said photographers without the permission of Cheltenham Sevens Limited.

5. Our Liability

5.1 Our total liability to you under the Contract will be limited to the amount paid by you for the Products purchased. We have taken every care in the preparation of the content of our site. However, the content displayed on our site is provided without any guarantees, conditions or warranties as to its accuracy.

5.2 We will not be responsible for any errors or omissions or for the results obtained from the use of such content or for any technical problems you may experience with our site. If we are informed of any inaccuracies in the content on our site we will attempt to correct this as soon as we reasonably can.

5.3 To the extent permitted by law, we hereby expressly exclude any and all liability (whether arising in contract, tort or otherwise) for any direct, indirect or consequential loss or damage which you or any third party may incur in connection with the use, inability to use, or results of the use of our site, any websites linked to it and any materials posted on it.

5.4 This does not affect any liability we have to you under the Contract. These limitations and exclusions do not affect your statutory rights and only apply to the extent permitted by applicable law. Nothing in these terms and conditions shall limit our liability for death or personal injury caused by our negligence or that of our servants, agents, employees or any liability in the tort of deceit.Customer service.

Cheltenham 7s Festival 19th & 20th July 2024

1. Admission & Ticketing Conditions

1.1 These terms and conditions (T&Cs) incorporate, and should be read together with, any vendor’s and/or agent’s terms or regulations, which you can obtain from the point of purchase from the official ticket agent. Your possession of a ticket constitutes your acceptance of these T&Cs.

1.2 You will be unable to enter Cheltenham 7s Festival after after 6pm on the Saturday evening of the festival unless:

(a) You have already entered the festival site and are in possession of a festival wristband; and

(b) Have been participating in one of the sports tournaments at the festival; and

(c)You have a valid re-entry pass issued by the Information Point with a declared re-entry time.

1.3 The Cheltenham 7s Festival operates a Challenge 25 Policy for buying alcohol. If you look under 25, you will be required to prove that you are over 18. Please ensure that you have valid photo ID if you wish to purchase alcohol or other age restricted products.

1.4 Your ticket will be replaced with a festival wristband at the festival entrance. You MUST keep your wristband on at all times. Anyone without a wristband will be removed from the festival. If your wristband is removed or tampered with it will be void and access to the site will be refused. Wristbands must be worn at all times for the duration of the Event. Lost or misplaced wristbands will not be replaced by us.

1.5 If you have obtained your ticket in breach of these T&Cs and/or if you breach any of these T&Cs then your ticket/wristband shall be void, and all rights conferred on you or evidenced by such ticket/wristband, shall be void. If you seek to gain entry to the Event using a void ticket or wristband then we reserve the right to refuse you entry or evict you from the Event and you may be liable to legal action for trespass.  Void tickets/wristbands are non-refundable.

1.6 Tickets/Wristbands cannot be used as part of any marketing, media or sales promotion, without the prior written consent of Cheltenham Sevens Limited.

1.7 Do not buy tickets or goods from unlawful street traders/touts. There is no guarantee of tickets’ validity for entry unless purchased from official ticket agents for Event which can be found on our site.

1.8 Tickets purchased from unauthorised sources may be rendered invalid and admission refused. Only wristbands issued by the Event in exchange for a valid ticket are valid for entry. The ticket holder is responsible for their tickets until it is exchanged for a wristband and then responsible for their wristband for the duration of the event.

2. Security

2.1 The management of Cheltenham Sevens Ltd and the security staff on our behalf retain the right of admission.

2.2 Cheltenham Sevens Ltd reserves the right to evict customers without refund, and/or refuse admission where the Terms and Conditions of Entry are breached.

2.3 You may be body/bag searched anywhere on site at any time by security and detection dogs. Searching is a condition of entry.

2.4 Any item(s), reasonably considered to be a weapon/ be used as a weapon, which may cause danger, offence or disruption to any other person, will be confiscated.

2.5 Any person carrying illegal items or carrying out illegal activity may be handed over to the Police, refused entry or evicted from the Event without a refund.

2.6 The following items are prohibited at Cheltenham 7s Festival and will be confiscated on arrival.

• Alcohol
• Nitrous oxide and associated equipment
• Camping gas canisters or barbecues
• Glass bottles or containers (does not include perfume bottles etc)
• Paint spray cans
• Laser equipment
• Generators
• Fireworks, flares or any other pyrotechnics
• Smoke canisters
• Chinese lanterns
• Klaxons, air horns, megaphones or other items capable of making loud noise
• Any animals (with the exception of assistance dogs) are not permitted at any time
• Drones
• Unauthorised professional photography, film or video equipment

3. Price & Payments

3.1 The price of the Products on our site will be as displayed at Cheltenham7sfestival.co.uk and Eventbrite except in cases of obvious error. These prices include VAT at the current rate.

3.2 In the case of an obvious error, we are under no obligation to provide the Product to you at the incorrect price, even after the Contract between us has been formed, if the pricing error is obvious and unmistakeable and could have reasonably been recognised by you as an error.

3.3 We reserve the right to amend pricing throughout the sales period. Payments for Cheltenham 7s are processed through stripe and Eventbrite who accept Visa and Mastercard credit cards, Visa debit cards (Visa Delta, Electron and Debit), Maestro, Switch and Solo.

3.4 By submitting an order to us through our site, you represent and warrant that the payment details provided on your order are valid and correct, and that when your order is accepted and processed by us, payment will be made in full. Ownership of the products will only pass to you once full payment is received including delivery charges.

4. Cancellation & Refund Policy

9.1 General Admission Tickets, Team Entry Packages, Individual Tickets or Upgrades purchased through the Team Entry section of this site or through Eventbrite, cannot be cancelled once booking is confirmed and payment made.

4.2 All purchases made from Cheltenham Sevens Limited are non-refundable, in any circumstances, after the point of sale.

4.3 In particular, please note that the following would not be due cause for refunds to be issued by Cheltenham Sevens Limited; cancellation due to adverse weather, terrorism, civil unrest or disobedience, national mourning, communicable diseases or the non-performance of any acts.

4.4 In the event that the planned dates of Cheltenham 7s Festival are moved, amended or curtailed due to Coronavirus (COVID-19); all General Admission Tickets, Team Entry Packages, Individual Tickets or Upgrades purchased through the Team Entry section of this site or via any ticketing partner, will remain valid for the re-scheduled festival dates. In this instance, clauses 9.1, 9.2 and 9.3 remain in place.

4.5 Any purchase from our site confirms acceptance of these terms.

5. General

5.1 Artists and billed attractions may be subject to change or withdrawn without prior notice.

5.2 No trading or promotional activities allowed within the venue without the prior consent of Cheltenham Sevens Limited.

5.3 Goods using unauthorised Cheltenham 7s logos and unauthorised professional recording equipment must be surrendered to staff.

5.4 Photographic equipment is permitted, provided that it is for personal, non-commercial use only. In the event of any subsequent commercial use, the bearer agrees to pay us for the cost of a licence issued by us for permission to take photographs/visual/audio recordings for commercial use.

5.5 You give your express consent to your actual/simulated likeness to be included for no fee within any audio or visual recording to be used in any media for any purpose at any time. This includes CCTV and/or filming by the police or security staff which may be carried out for the security of customers and/or the prevention of crime.

5.6 By attending the festival, we can use any photography captured during the festival for any marketing purposes. If you wish yourself or any player/attendee to be excluded from such marketing please contact  Info@cheltenham7sfestival.co.uk to discuss.

5.7 No unauthorised vehicles will be allowed anywhere on site.

5.8 You must comply with any and all instructions given to you by us and/or Event staff, security, stewards and sports officials.

5.9 Fires are not permitted at Cheltenham 7s Festival. The burning of plastics, bedding, tents, furniture etc. is not permitted anywhere on site.

5.10 Smoking is not permitted in enclosed public spaces or buildings including arena big tops.

5.11 Excessive exposure to loud music may cause damage to your hearing.

5.12 Pyrotechnics, lasers, smoke machines, strobe lighting/special effects may take place during some performances.

5.13 The use of drones or similar equipment for any reason is prohibited on or near the Event without written permission from Cheltenham Sevens Limited

5.14 No animals, other than guide or hearing dogs, are permitted on site.

5.15 Cheltenham Sevens Limited does not accept any liability for personal or property damages, losses (including surrendered items) or injuries sustained at this event – other than caused as a result of our negligence.  Attendance at this Event is at your own risk.

6. Under 18s, under 16s and under 15s terms and conditions:

6.1 We encourage the youngsters to be off site by 6pm so the adults can party.

6.2 Under 18s are not allowed to camp under any circumstances.

6.3 All under 16s must be accompanied by an adult at all times.

6.4 We will be operating the challenge 25 policy on our gate, bars and campsite.

6.5 C7s reserve the right to refuse entry to anyone under the age of 18 if they are intoxicated, unaccompanied by an adult (if under 16).

6.6 C7s reserve the right to change our policy at any time.

6.7 For identification purposes only we will only be accepting passports and driving licences.

6.8 There will be a missing children policy in place, and we will be following the government guidelines regarding safeguarding matters.

Mixed Social Rounders

Rounders is a game played between two teams and the aim of the game is to score the most Rounders.

The basic rules are:

Rounders games are played between two teams. Each team has a minimum of 6 players and a maximum of 15 players. No more than 9 players may be on the field at any one time. One team bats while the other team fields and bowls.

One team bats while the other team fields and bowls.

The bowler bowls the ball to the batter, who hits the ball anywhere on the Rounders pitch. The batter then runs to as many posts as possible before the fielders return the ball to touch the post the batter is heading for.

Games are usually played over 2 innings.

Scoring

If the batter reaches the 2nd or 3rd post in one hit, the batting team scores ½ Rounder.

If the batter reaches 4th post in one hit, the batting team scores a Rounder.

A batter is out if the fielding team catch the ball hit by a batter before it touches the ground or by touching the post the batter is running to with the ball before the batter reaches it.

If the runner reaches the 4th post on a no ball, the batting team scores 1 rounder. The batter cannot be caught out.

1/2 rounder scored if the 4th post is reached without the batter hitting the ball.

If the ball goes into the backward area the batter must stay at the 1st post until it reaches the outward area. If the 4th post is reached, 1 rounder is scored.

If 2nd post is reached before the next ball is bowled, the batting team get 1/2 rounder, but if the batter continues to run and is put out before the 4th post then it is taken off.

If the batter incurrs 2 no balls in a row then a penalty 1/2 rounder is given to the batting team.

There is a penalty 1/2 rounder given to the batting team if the batter is obstructed by a fielder.

The team with the most rounders wins.

Running around the track

Batters must always keep contact with the post, either with their hand or bat. If you don’t, the fielders can stump you out at the following post.

You don’t have to move to the next post every time a ball is bowled.

A batter may not remain at the same post as another batter. The umpire shall order the player who batted first to run on and may be put out in the usual ways. If they are both between posts and the batter coming up the rear runs past, then they would be out as the overtaker.

If you are at a post you cannot keep on moving to the next post when the bowler has the ball in his square. However, if you are between posts then you can keep on moving until you reach the following post.

If a post has been previously stumped, you can run on to it but there will be no score if the next post ahead has been stumped.

A player is out when:

– A batter runs on the inside of the posts.

– The post the batter is running to is stumped.

– You overtake a previous batter on the field.

 – The batter misses or hits the ball and their foot is over the front or back line of the batting square.

– A fielder obstructs a batter.

– You deliberately throw a bat.

– The batter is caught out.

– The batter loses contact with the post when the bowler has the ball.

Batting Rules

You may use two hands when batting.

All batters must wait far behind the batting square and well away from the 4th post.

If a player is out, they must also wait in the backward area well away from the 1st post.

Each batter will have one good ball bowled to them.

A batter must hold on to the bat whilst running round the track. If this is a genuine accident then once the game play is at a dead ball situation (ball back with bowler) the umpire should ask the batter to retrieve their bat. However if this is obviously deliberate, then the batter is out.

It is a no ball when:

– The ball is above the head/below the knee.

– The ball bounces on its way to you

– The ball is wide or straight at body

– The bowler’s foot is outside of the square when they release the ball

– The bowler does not use a smooth underarm action.
